Receipt Printer Not Printing? A Ten-Minute Café Checklist

The queue is six deep, the card payment has gone through, and the printer does nothing. Or it feeds out a long blank strip. Or it prints half a receipt and stops. Almost every receipt printer fault a café hits is one of about eight things, and most of them are fixable at the counter without calling anyone. What follows is the order to work through them in — from the check that takes five seconds to the one that needs someone in the router.
First: what changed?
Printers rarely degrade. They work, and then something changes and they stop. Before you start pulling anything apart, ask what is different since the last receipt printed correctly. A new roll of paper. A router that rebooted overnight. A tablet that updated itself. A staff member who logged out and back in. A cleaner who unplugged something to use the socket. That question identifies the fault about half the time, and asking it costs you nothing.
The paper roll, and the two things people get wrong
Thermal paper has a heat-sensitive coating on one side only, and it prints on that side or not at all. If receipts come out completely blank but the paper moves, the roll is in upside down — that is the single most common fault in this whole article. To find the right side, scratch the paper briskly with a fingernail or the edge of a coin: the side that leaves a dark mark is the side that has to face the print head. Flip the roll and try again.
The other paper problem is storage. Thermal rolls are damaged by heat and sunlight, and a case left in a hot back-of-house store or sitting in a van through a UAE summer afternoon can darken or lose sensitivity before it is ever loaded. If a fresh roll prints faintly while an older one prints fine, suspect the roll and not the printer. Keep your stock somewhere cool and dark, and buy in quantities you will actually get through.
Power, and the light on the front
If there are no lights at all, you have a power problem, not a printing problem. Try the printer's power brick in a different socket, and check the barrel connector is fully seated — they work loose under a counter where the cable gets tugged. If there is a light and it is flashing rather than steady, the printer is telling you something specific: on most units that means the cover is not properly latched, the paper has run out, or the print head has overheated during a long batch. Bluetooth: the pairing that quietly dropped
A Bluetooth printer holds one connection at a time. If someone paired it to a second phone to test something, the original till loses it, and nothing on screen explains why. Power-saving settings on tablets are the other regular cause — an aggressive battery saver will drop a background Bluetooth connection to save a few minutes of charge. The fix is the same either way: forget the printer on the device, power the printer off and on, and pair it again from scratch. Network printers: the address that changed overnight
This is the fault that looks most like a software bug and almost never is. A printer on Wi-Fi or LAN is usually handed an address by the router, and that address can change when the router restarts after a power cut or an update. The till is still trying to reach the old one, so it fails silently while every other device on the network works perfectly. When the printer is fine and the till isn't
Nearly every thermal printer can print its own test page without any till involved — typically by holding the feed button while switching the power on, though the exact combination varies by model. That page is worth more than any amount of guessing: it proves the print head, the motor and the paper are all working, and on a network unit it usually prints the address the printer currently thinks it has. If the self-test prints and your receipts do not, the fault is between the till and the printer, not inside it, and you can stop taking the machine apart.
One symptom that is not a hardware fault at all: Arabic that prints as boxes, question marks or letters in the wrong order. The printer is working exactly as instructed — it is being sent the wrong instructions. The ten-minute order
- Ask what changed since the last good receipt.
- Check the paper is the right way up, and reseat the roll.
- Check the lights: powered, and steady rather than flashing.
- Close the cover properly — firmly enough to click.
- Run the printer's self-test page.
- If the self-test works, restart the till app, then the device.
- For Bluetooth, unpair and re-pair from scratch.
- For network, restart the printer and check it comes back on the address the till expects.
- If it is still dead after all of that, swap in the spare and carry on trading.

Three habits remove most repeat calls. Reserve a fixed address for every network printer the day it is installed. Keep one spare roll physically at the till rather than in the store room, because a printer that runs out mid-order is a printer someone will declare broken. And write down what the fault was and what fixed it, on paper, inside the drawer — the same fault will happen again, probably to someone who was not working the day you solved it.
