Café Wi-Fi Setup: Keeping the Till Online and Guests Happy

Nobody opens a café thinking about networking. Then one Friday the room fills, somebody starts a video call by the window, and the receipt printer stops answering. Orders back up, a queue forms, and the fix everyone reaches for — turning the router off and on — takes four minutes you don't have. Almost none of that is bad luck. A café asks one internet connection to do two completely different jobs, and the two jobs are in direct competition unless you separate them.
One line, two networks
This is the single change that fixes the most problems, and on most modern routers it takes ten minutes. Run two wireless networks off the same connection: one for the business, one for guests.
- The business network carries the till, the receipt printer, any tablet taking orders and the back-office laptop. It is hidden or at least not advertised, its password is not on a card by the counter, and no customer device ever joins it.
- The guest network carries everyone else. It is the one on the card. Most routers offer this as a "guest" or "visitor" network with client isolation, which also stops one customer's laptop from seeing another's.
- A bandwidth cap on the guest side is worth setting if your router supports it. Your till needs very little; what it needs is for that little to be available instantly. Capping guests protects that.
The security argument for separating them is real, but the operational argument is bigger. On one shared network, a full room genuinely can starve your point of sale — and it will do it at exactly the moment you least want to be restarting anything.
What actually breaks first is the printer
In practice the till rarely drops. Phones, tablets and laptops handle a patchy connection well, and a modern POS is designed for it. The receipt printer is the fragile one, and it fails in ways that look like a software problem.
Three causes cover most of it. First, band steering: many thermal printers only speak 2.4GHz, so if your router presents one combined network name and pushes the till to 5GHz, the two devices can end up unable to find each other. Giving 2.4GHz its own network name and putting the printer there permanently solves it. Second, DHCP: a network printer that gets a new address after a router reboot is a printer the till can no longer reach, so reserve a fixed address for it in the router settings. Third, distance and metal — a printer tucked under a steel counter is behind a wall as far as radio is concerned.

A USB or wired-LAN printer at the main till removes an entire category of Friday-night problem, and Bluetooth is genuinely fine for a second station or a mobile pay-at-table setup. Where the router goes
The default is wherever the technician found a socket, which is usually the back office — the one room in the café with no customers in it. Radio doesn't travel well through kitchen walls, fridges, or the metal in a service counter, so a router at the back of the building spends most of its signal on the store room.
Put the main access point roughly central to the seating area and as high as you can, and if the space is long, L-shaped or split over two floors, add a second access point rather than a repeater. A repeater halves throughput to make coverage; a second access point on a cable does not. In a small café that means running one network cable during a fit-out, which is trivial then and disruptive later — worth adding to the list when the walls are already open.
Plan for the line going down, because it will
Outages happen — building works, a provider fault, an unpaid renewal nobody noticed. What decides how bad it is for you is what your systems do while it lasts.
- Know what your POS does offline before you need to know. Some systems keep selling and sync when the connection returns; others show a spinner and stop. - Keep a phone hotspot on the plan as the first fallback. It costs nothing until the day you need it, and one device tethering the till is enough to keep the counter running.
- Consider a router with mobile failover if you have any real volume. These switch to a SIM automatically when the fixed line drops, and the changeover is fast enough that most staff never notice.
- Ask your payment provider what their terminal does independently. Card acceptance and your POS may or may not rely on the same connection, and that answer belongs to them — get it in writing rather than discovering it in a queue.
- Write the fallback on a card by the till. Whoever is on shift at 7am when it happens is unlikely to be you.
The guest side: what to offer, and what to skip
Guest Wi-Fi is table stakes for a café where people sit and work, and it is also a reason those people occupy a table for three hours. That is a trade-off worth deciding on purpose rather than by default. A password printed on the receipt or shown on the table card is enough for most cafés; if you want to nudge turnover at peak, some owners rotate the password daily and put it only on the receipt.
Two things worth being careful about. Marketing capture portals — the sign-in screens that collect an email before granting access — are collecting personal data, so if you use one, say clearly what you are collecting and what for, and don't add people to a mailing list they never agreed to. And check your own service terms before you re-share a business connection publicly; what a provider permits varies by plan, and it is a five-minute question to ask them rather than an assumption to make.
One thing the guest network is genuinely good for: a QR menu that customers scan at the table works far better in a room where connectivity is reliable, and a guest with two bars of mobile signal in a basement unit is a customer who gives up on the menu.

Yes, and it is the highest-value ten minutes you will spend on your network. A separate guest network keeps a busy room from competing with your point of sale for bandwidth, and keeps customer devices off the same network as your till, printer and back-office laptop. Most business routers offer this as a built-in guest mode.
Why does my receipt printer keep disconnecting?
Usually one of three things. Many thermal printers only support 2.4GHz, so a combined network name that pushes the till to 5GHz can leave the two unable to reach each other. How much internet speed does a café POS need?

What happens to my till if the internet goes down?

Is a Wi-Fi extender good enough for a large café?
For a small dead spot, often yes. For a long room, an L-shaped space or two floors, a second access point connected by cable is much better — an extender rebroadcasts what it receives and roughly halves throughput to do it. Running a network cable during a fit-out is cheap; running it afterwards is not.
None of this is a big project. Two networks instead of one, a printer that doesn't move address, a router somewhere near the customers, and a written answer to what happens when the line dies. An afternoon of setup, and the Friday rush stops being the moment you find out what your network can't do.
