Kitchen Display or Kitchen Printer? What a Small Kitchen Needs

Ask a POS vendor whether you need a kitchen display screen and you will get a yes. Ask the two people actually working your kitchen at 1pm and you may get a different answer. Both a printed ticket and a screen on the wall solve the same problem — getting an order from the till to the person making it, accurately, without shouting — and for a small kitchen the right choice is genuinely not obvious. Here is how to decide it on your own kitchen rather than on a feature comparison.
What each one actually does to the ticket flow
A kitchen printer turns an order into a piece of paper. Someone tears it off, puts it on a rail, and works down the rail left to right. When the dish goes out, the ticket comes off. The whole system is visible from anywhere in the kitchen and requires no training at all — a new hire on their first shift understands a rail of paper immediately.
A kitchen display keeps the same queue on a screen. Tickets appear as cards, someone taps items or whole orders as they are finished, and the card clears itself. Nothing is torn, nothing is lost, and the system knows how long each order sat there — which is the real difference, and we will come back to it.
Both work. The failure mode people imagine — the screen going dark mid-rush — is much rarer than the failure mode they have already lived through, which is a paper ticket falling behind the pass and being found at closing.
Where a paper ticket still wins
- Nobody needs teaching. In a market with the staff turnover UAE F&B runs at, a system that needs no induction has a real, recurring value that is easy to underestimate.
- It survives a power cut and a dead tablet — as long as the till printed it. Paper does not need to stay charged.
- Two people can hold two tickets. On a screen, whoever is at the screen owns the queue. On a rail, the barista takes the drinks half and the kitchen takes the food half without discussing it.
- It can leave the kitchen. A ticket goes on the bag for a collection order, or into the runner's hand for a car order, and carries the order number with it.
- It is cheap to start. One printer, one rail, done.
The costs of paper are real but they arrive quietly: rolls, the occasional ticket that goes missing, and the fact that you will never know how long anything took. That last one is invisible until you go looking for it.
Where a screen starts to pay for itself
The case for a screen is rarely about the screen. It is about three things that paper cannot give you.
Timing data. A screen knows when the order arrived and when it was marked done. After a month you can answer questions you currently guess at: how long a flat white actually takes at 8am versus 3pm, whether one shift is slower than another, which menu item is the one that holds up every order it appears in. That last question is worth the exercise on its own — it usually has an answer, and it is usually fixable with prep rather than with staff.
Order volume from more than one channel. A kitchen taking dine-in, collection, QR orders and delivery is holding four queues, and paper handles four queues by giving you four piles. A screen merges them into one list in the order they arrived, which is the order they should be made in.
Changes after the ticket is sent. A customer adds an item, a cashier fixes a mistake. On paper that means voiding, reprinting and hoping the old ticket gets binned. On a screen the card updates.

Noise deserves a line of its own because it is the thing owners notice last and staff notice first. A cutter firing every ninety seconds in a small room with hard surfaces is genuinely wearing over an eight-hour shift, and a café where the counter and the kitchen are effectively the same space will hear every one of them.
So which one should a small kitchen buy?
If you run one counter, one or two people making everything, and orders arrive almost entirely from the till in front of you — buy the printer. You are not solving a routing problem, because there is nothing to route. Put a rail up, keep a spare roll under the counter, and spend the money on something the customer can taste.
If orders reach you from three or four directions — the counter, a QR menu at the table, collection, delivery — a screen stops being a luxury, because the problem has changed from printing to sequencing. That is also the point at which it becomes worth knowing what each channel does to your kitchen's timing, which matters when you are working out what a delivery order really costs you and whether it is slowing the counter queue while it does it.
A third option people forget: both. A screen for sequencing and a printer for the physical ticket that rides out with the bag. It is not indecision, it is what a lot of kitchens end up doing.

Does a small café need a kitchen display system?
Often not. If orders arrive almost entirely from one counter and one or two people make everything, a kitchen printer and a ticket rail do the same job with no training. A screen earns its place once you are sequencing orders from several channels at once.

That depends entirely on the system, and it is the single most useful thing to ask during a demo. Ask specifically what a screen shows during an outage, whether orders taken offline appear when the connection returns, and test it by switching the Wi-Fi off mid-demo.
Can I use a normal tablet as a kitchen screen?
Usually yes, and most kitchens do. What matters more than the tablet is where it goes: away from steam and splash, on a bracket rather than a shelf, on permanent power, and at a height someone can tap with the back of a knuckle.
The kitchens that run well are not the ones with the best equipment on the pass. They are the ones where everybody agrees on where an order lives between being taken and being handed over. Paper or screen, pick one, put it in the same place every shift, and stop letting orders exist in someone's head.
